This policy explains what PickleCrew collects, why, who else sees it, and what you can do about it. It describes what the app actually does — if you find something here that doesn't match your experience, tell us at support@picklecrew.net.
1. What we collect
- Account details — your email address, display name, password (stored only as a bcrypt hash, never in readable form), and anything you choose to add: avatar, bio, play-style tags, self-reported skill level and DUPR number, and home club.
- Game and competition data — scores you or your crewmates log, who played, your calculated rating and rating history, XP, streaks, badges, and head-to-head records.
- Location — if you allow it, your device's approximate coordinates, used to sort nearby courts, clubs and available players. We store coordinates only when you broadcast that you're available to play, and only until that availability window expires.
- Phone numbers — only if you or a session organiser enter one for a walk-in guest, so a recap can be sent. Guest numbers are stored as a one-way hash, not as readable digits.
- Technical data — a session cookie to keep you signed in, and standard server request logs.
2. How we use it
- Run your account and your crews.
- Calculate ratings, standings, streaks, badges and leaderboards.
- Show you nearby courts, clubs, events and players.
- Send you email and push notifications about your games and crews. You can turn marketing email and push off at any time in Settings, or by using the unsubscribe link in any marketing email. Notifications you can't opt out of are limited to essentials like password resets.
3. Who else sees your information
We do not sell your personal information. It is shared in three ways:
- With other users. Your display name, avatar, rating, skill level, bio and game history are visible to people you share a crew with, and — if your profile visibility is set to public — to any signed-in user. You can change this in Settings. Games are visible to everyone in the crew they were logged in.
- With service providers who operate parts of the product on our behalf. They may only use the data to provide their service to us:
- Floot — application hosting, database, and web push delivery.
- Emailit — sending transactional and notification email.
- Cloudinary — storing and serving profile photos and crew cover images.
- Google Places — looking up courts and clubs when you search for a location.
- OpenAI — generating optional AI match insights; receives player display names and crew names.
- Google Firebase — delivering push notifications to the mobile apps.
- OpenStreetMap / Nominatim — resolving a typed location to map coordinates.
- Where the law requires it, or to investigate abuse of the service.
4. Cookies
We set one cookie: a signed session token that keeps you logged in. It is HttpOnly, sent only over HTTPS, and expires after seven days. We do not use advertising or cross-site tracking cookies.
5. Deleting your account
You can delete your account at any time from Settings. Deleting your account anonymises it rather than erasing everything. We remove your email address, name, avatar, bio, phone number and referral code, and the account is replaced by a placeholder. We keep the games you played, because those records belong to your crewmates as much as to you — deleting them would rewrite other people's match history, ratings and standings. Your name is not attached to them after deletion.
If you want the underlying game records removed as well, email support@picklecrew.net and we will handle it case by case, since it affects other players.
6. How long we keep things
Account and game data is kept while your account is open, and in the anonymised form described above after deletion. Session records expire after seven days. Drop-in availability, including any coordinates, is deleted once the window you set has passed. Server request logs are retained for a short operational period and then discarded.
7. Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal information, and to object to certain processing. You can do most of this yourself in Settings. For anything else, email support@picklecrew.net and we will respond within 30 days. You can also ask us to stop sending marketing email without closing your account.
8. Children
PickleCrew is not intended for anyone under 13, and we do not knowingly collect information from them. If you believe a child has created an account, contact us and we will remove it.
9. Changes
If we change this policy in a way that materially affects you, we will update the date at the top and notify you in the app or by email.
